The office is responsible in formulating educational regulations operating in the college & follow up the implementation of the regulations, responsible for admission & registration of students, computation of semester results, preparation and distribution of academic calendars, issuance of transcripts/ diplomas / degree, receives & process application of readmission. Stores every student's documents with at most care, Coordinate examinations; scheduling & assigning invigilators and supervision of the examinations.
The Defence Engineering College shall normally operate on a two-semester basis, each semester being of 21 weeks (including the three weeks period for examinations). Academic Calendar is prepared by the Registrar in consultation with the different executive bodies of the College and is approved by the Academic Commission.

Basic Rules & Regulations Governing the Academic Activities in DEC

Admission into the regular program

Admission at 1st Year Level
Admission to the College is processed and granted by the Admission Office /section in consultation with the Registrar. Admission to the College is open to all Defence personnel and those who come through the Ministry of National Defence & in this regard the College may set further criteria, as it may deem necessary.
* At present, admission at the 1st year level may be granted to a candidate who fulfills any of the following requirements.
Admission Following Preparatory Education
An applicant who has successfully completed the preparatory school education and who passes the National examinations for College entrance can be considered for admission.
Admission Following ESLCE.
a) An applicant with good performance in the Ethiopian School Leaving Certificate Examination (GPA of 2.00 or above) and who passes the College entrance examination shall be admitted for a one-Year intensive upgrading program before joining the regular program.
b) Selection for the regular 1st year level will be done based on the performance of the students in the upgrading program and other criteria that the College may set.
Admission on Advanced Standing Level

Admission to degree programs with Advanced Standing Level is processed and granted through Ad1mission Office in consultation with the Registrar provided that the Academic Commission of the College approves.
Subject to the availability of seats and keeping in view the needs of the different sections of the Ministry of National Defence, the admission shall be done on a competitive basis.
A student may apply for Advanced Standing Level admission, if he/she fulfills all of the following conditions:
i. Holds a diploma from Defence Engineering College or any other institution of higher learning of similar standard.
ii. Has earned a minimum cumulative grade point average (CGPA) of 2.00 on graduation.
iii. Has a working experience in the intended field of study.
iv. Can produce favorable recommendations from the section he/she is assigned to in the Ministry.
v. Has successfully passed the College entrance examination
Advanced Standing Level admission is processed only during the first semester of each academic year.
Relevant academic regulations of the College shall be applicable for the determination of the academic status of Advanced Standing Level students.
